Policy FAQs

Why have we implemented the scheme?

The new scheme is being introduced to provide employees with the ability to personally own cars of brands sold by the company and to provide a cost efficient benefit that will form an important recruitment and retention tool for quality personnel.

Who can participate in the new scheme?

You will be notified by your employer if you are eligible to participate in the scheme.

I already have a company car, can I order a scheme car?

All company car drivers, if eligible will be able to order a car on the scheme for themselves or another person living at the same address (e.g. Spouse, Parent or Partner). This is at the discretion of the manufacturer and/or your employer.

How do I get a quote for a car I am interested in?

You need to speak to your Scheme Co-ordinator who will be able to produce a quotation for you on the dedicated driver website. Once you have accepted your quote the Scheme Co-ordinator will order your car.

What is the maximum I can spend on my scheme car?

The normal limit is up to 25% of your gross (i.e. before tax) monthly pay for all cars you take under CBCS car schemes. For people who work in sales, gross pay will be estimated on the basis of P60 earnings in the previous period.

What happens if I go on maternity/paternity leave?

If you take maternity or paternity leave, you will be offered the option to either continue paying for your scheme car until its end-of-contract date or terminate the agreement early by paying one month’s penalty interest.

Can I add a cherished plate to my scheme car?

Unfortunately not. This is to ensure that your employer is able to quickly and freely market the car for resale in the event that you exercise your Buyback Option.

How do I insure my scheme car?

In the unfortunate event that you have an accident, you need to be fully protected by your car insurance. Under the terms of the Credit Sale Agreement (CSA), you are required to take out a Fully Comprehenive insurance policy and it is important you state that the Registered Keeper of the car is Car Benefit Car Schemes Limited (CBCS) and that the Legal Owner of the car is the employee (you). Car Benefit Car Schemes Limited and Autonet Insurance are working in partnership to provide all scheme drivers with a tailored package that meets all the insurance requirements of the scheme at a competitive price. For further information, please see our Insurance Guide page.

Can anybody drive my car?

Only those properly insured on a fully comprehensive insurance policy, such as named drivers, can drive your car.

Can I use my scheme car for business trips?

Yes, you can use your car for business trips provided that your fully comprehensive insurance includes cover for business use.

Can I take my scheme car abroad?

Yes. To enable you to take your car abroad and to obtain the appropriate documentation you should call 01452 881 044 and quote your car’s registration number (there will be a nominal charge for this service).

CAR

How do I know what cars I can choose from?

You can view the current car Choice List once logged in to this website, or you can contact your Scheme Co-ordinator who will be able to send you a copy.

Why is the car choice limited?

The scheme is designed to offer cars that represent the best value and so the choice of cars available to you will be updated on a regular basis, taking into account model introductions and deletions, as well as other factors which may affect pricing. Any changes to price will not apply to cars already on order or live contracts, which will continue to enjoy a fixed repayment until renewal.

Can I fit after market accessories?

After-market accessories are not part of the scheme and cannot be added to your agreement. Your employer may allow you to add after-market accessories at your own cost, please contact your Scheme Co-ordinator for further clarification.

What happens if I have an accident or write-off my car?

You should contact your insurance company immediately and make arrangements to register a claim. It is your responsibility to source a courtesy car, although some policies do include this as part of the cover. You will still be expected to make your monthly repayment even though your car may be unavailable. For written-off (total loss) cars, you must settle your liability to CBCS as soon as the insurance company settles the claim. You will then be free to order another scheme car should you wish. The same process will apply to stolen cars.

What if my car needs tyres, replacement glass or servicing?

All scheme cars are covered by the normal manufacturer warranty. Items such as tyres, servicing and replacement glass are not included in the manufacturer warranty or the scheme offering and as such, you will have to pay for them. Any servicing required throughout the length of your agreement must be conducted by an Approved Dealer.

What do I do if I want to return my before the end of the agreement term?

If you wish to terminate your Credit Sale Agreement prior to the end date, you can either settle the outstanding finance or exercise your option to sell the car back to CBCS by returning the car to your employer and paying an early termination charge.

What do I need to do to regularly maintain my car?

You must ensure that your car is maintained in accordance with your employers instructions and if necessary, you should have your car serviced at your dealership. You should also check oil levels, water levels and tyre pressures on a regular basis, ensuring that at the end of your agreement the car is in line with the manufacturers return standards. Please refer to the handbook in your car for further information with regard to checking the above.

Legal & Contractual

Who owns the car?

You, the employee named on the Credit Sale Agreement are the legal owner of the car from the date it is delivered to you.

Who is the car registered to?

The car is registered to Car Benefit Car Schemes Limited (as stated on the Credit Sale Agreement), who will retain the V5C Registration Document for administration purposes.

What is a Credit Sale Agreement (CSA)?

A Credit Sale Agreement (CSA) is a loan agreement regulated by the Consumer Credit Act (CCA) 1974. Unlike other financing arrangements, a CSA passes title (legal ownership) in a car to the customer at the outset i.e. upon delivery of the car.

What if I would like to withdraw from the agreement?

The Credit Sale Agreement (CSA) is a regulated agreement. You will have fourteen days beginning from the day after the agreement is made (counter- signed) in which to change your mind and withdraw from the credit agreement. Instructions on how to withdraw are detailed in your Credit Sale Agreement.

Under what circumstances would a Credit Reference Check take place?

If all or part of our interest in the Agreement is purchased, assigned or transferred then the purchaser, assignee or transferee may search your record at credit reference agencies. The credit reference agencies will add to your records details of the search and this will be seen by other organisations that make searches. It is therefore important that you give us accurate information.

Will participation in the scheme reduce my ability to access further credit?

Although CBCS do not conduct credit reference checks, there are circumstances where this may happen (please see ‘Under what circumstances would a Credit Reference Check take place’). Should this happen, there will be a footprint of a credit request on your record, which may affect your access to further credit. The CSA should be declared to credit providers if requested. CBCS can supply a letter explaining how the scheme works if required. The company car tax savings should be sufficient to fund the monthly credit repayments.

When do I make my first monthly repayment?

Your first CSA repayment will be collected from your net pay on the day you are paid in the month after you take delivery of your car. Example: If you take delivery on 1st September, your first repayment will be collected on the day you are paid in October.

When do I make my last monthly repayment?

Your last CSA repayment will be due in the month in which you return or settle the loan balances for your car.

What is the GRV mileage?

The Guaranteed Residual Value (GRV) is based on a mileage of 6,000 within the six-month term.

What happens if I reach the GRV mileage before the end of my agreement?

If you believe that you will reach the GRV mileage before the expiry of the contract term then you should contact your Scheme Co-ordinator for advice on the options available to you. Please be aware that there will be an adjustment to the Guaranteed Residual Value for any excess miles travelled.

What happens if I leave my employment?

Should you leave your employment, under your own volition or otherwise, your Credit Sale Agreement will terminate. You can exercise you Buyback Option and return your car in an acceptable condition, which will extinguish any outstanding liability or alternatively settle the loan balance and retain the car.

Can I keep my car and continue with repayments if I leave?

No. Participation within the scheme is conditional on being employed by your employer however you can settle the loan balance and keep the car.

Can I sell my scheme car?

Should you wish to sell your car before the end of the contract term you will be contractually obliged to offer it to Car Benefit Car Schemes Limited in the first instance. The amount CBCS will pay you will be restricted to the lower of the market value or the outstanding loan balance and so will never be more than the original cash price.

What do I do if I receive a traffic offence or parking notice?

Where Car Benefit Car Schemes (CBCS) Limited are the registered keeper of the vehicle, all potential fines and Fixed Penalty Notices will be sent to CBCS. Details of the person named on the Credit Sale Agreement are then passed onto the relevant authorities and it is your responsibility to resolve the issue and/or pay the fine within the stated time period. In the event that the relevant authorities require Car Benefit Car Schemes Limited to pay the fine or charge, we will do so. In other cases, where the issue is not resolved, or the fine is time sensitive (e.g. London Congestion Charge or Parking Fines), CBCS may also make payment. Where CBCS pays for a fine or charge the cost will be recovered via your employer and will be deducted from your net pay in accordance with the Payroll Instruction Form. Where your employer is the registered keeper, fines will be issued to them and they will either pay them on your behalf and proceed to deduct payments made on your behalf from net pay, or will provide your details to the relevant authorities for you to make payment. Should you wish to exercise your right to appeal the fine, this can be taken up with the relevant authorities. In some cases, this can be actioned after the payment has been issued.

What should I do with the personal data electronically stored in my car?

You must delete all personal data from the media system. This includes messages, call logs, music services, social accounts and destinations in your satellite navigation.

End of Agreement

What are my options at the end of the agreement?

At the end of the CSA term you have the option of settling the outstanding loan balances and keeping your car. Alternatively, you can exercise your Buyback Option and return your car which, subject to condition, should be sufficient to settle the outstanding loan balances.

If I choose to exercise my Buyback Option, how do I return my car?

Your old car should be returned to your employer at the end of your agreement term or at the same time that you take delivery of your new car.

Who should I contact if I want to retain my car?

You should contact the CBCS Helpdesk who can provide you with a quote to settle your loan balances in full.

When should I order my replacement car?

As soon as you take delivery of your new car a replacement needs to be ordered as some models can take 6 months from order to arrive.

What happens if my new car is not available at the end of my existing agreement?

Please refer to your Credit Sale Agreement for information regarding extensions. Any repayment you make will continue during the period of the extension and the buyback will remain unchanged. Employees must always endeavor to order their next car in good time when considering delivery lead times.

What does fair wear and tear mean?

You should repair any damage prior to returning your car. If you fail to do so, any damage found will be recharged to you.

When you receive your Credit Sale Agreement, you will also receive a document that clearly defines acceptable return standards. If you exercise your option to sell your car back to CBCS, it must be returned in line with these guidelines to avoid an end-of contract charge. The intention of this policy is to protect your employer who will normally look to retail the car if you choose to return it at the end of the agreement. They will not seek to profit from any such charges, will help you to keep them to a minimum and will only charge in accordance with the terms and conditions.
