AUDI FSD Company Car Terms and Conditions 2025:
While our vehicles are with you they should be treated as new and should be returned in the same condition as supplied. Please ensure you read all the terms below before submitting an order.
DAMAGED: Although we ask that the cars be returned in the same condition as supplied, we appreciate that accidents happen. If your car is involved in any form of accident you must inform Nicki Brewer and the supplying dealership (contact details are on the supply confirmation email). You will need to provide the following:
- Registration number.
- Date of the accident.
- Details of the accident.
- If applicable, who’s insurance is covering the cost of repair.
All repairs, beyond scuffs and light scratches that can be polished out, must be carried out by the Audi Division’ own Bodyshop’s. You must arrange recovery of the vehicle to our chosen Bodyshop.
All costs will be recharged.
LENGTH OF LOAN & MILEAGE LIMIT: All cars are insured by your own dealership and are supplied without a tracker system (unless the resale value is over £50,000). The vehicle must remain on the road for a full 4 month period before it can be defleeted. Exception1: If the car is pre-sold by the division we will aim to do the changeover at 3 months to prep the car for customer handover. Exception 2: The monthly recharge is based on no more than 6500 miles during the loan (including collection and delivery mileage). Therefore, if you average more than over 1500 miles per month you must inform us before the loan commences that you fall into a high mileage bracket so we can plan to changeover at 3 months. Unless caused by production delays any car returning with more than 6500 will have an excess mileage invoice at 50 pence per mile above the agreed 6500 miles. NB: we reserve the right to limit the model range for high mileage users.
WHILE THE VEHICLE IS WITH YOU:
- SMOKING – ZERO TOLERANCE: The Company operates a NO SMOKING policy in all Company vehicles in accordance with current legislation. This policy relates to conventional cigarettes as well as e-cigarettes – please refer to the Sytner employee handbook for full policy details. If your vehicle is returned smelling of smoke your line manager or head of business will be informed and a £300 full valet (including a smoke removal bomb) will invoiced to your dealership.
- CHILDREN CAR SEATS: To avoid damage to the upholstery please ensure a protective cover is placed underneath a child seat. This is possible without affecting the safety of the seat itself.
- PETS: Please ensure a protective cover is placed over the area in which you place your 4 legged friends to protect the vehicle interior. If a full deep clean valet is required to remove the smell of pets this will also be recharged to your dealership at a cost of £300.
- SOX STOCK CHECK: As part of the loan you are required to provide: the registration number; current mileage and location of the vehicle as of the 1st when asked to do so. Failure to provide the information could prevent us from continuing to provide your company car.
- PENALTY NOTICES: We will charge a £25 administration fee for ALL penalty notices received. The car supplied to you is your responsibility. If you swap cars with someone else you must let us know. Any penalty notices will be forwarded to the person responsible for the car. If you are responsible for the service loan vehicles you will be required to provide the information for the person driving the vehicle at the time of the offense.
- OIL TOP UP: The cost of oil top ups of RFO cars are the responsibility of the driver while the car is with you and not the Audi division. If the car is returned with the Oil Light on the top up will be recharged to you.
NEW SUPPLIES: All delivery costs are recharged to your dealership.
REPLACEMENT CARS: We will endeavour to place your RFO order with your nearest Audi centre to minimise disruption to you however, where this is not possible collection and delivery costs will be recharged to your dealership.
FUEL: Your new car will be supplied with enough fuel to get to the local fuel station. We are unable to supply more than this as Head Office has confirmed it would be deemed a taxable benefit and need to be declared. We expect the same amount in the car on collection/return.
RETURNING YOUR COMPANY CAR: Whether you are taking delivery of a replacement vehicle or coming to the End of a loan, you are responsible for the following:
- Ensuring the vehicle is returned clean and ready for a Preliminary inspection. If the vehicle is returned dirty and requires a valet before an inspection can be completed the valet with be recharged to your dealership at the following cost: £25 basic valet or £100 if heavily soiled inside or out. A Full Secondary Inspection will be carried out within 5 working days of the return and any damage and cost of repair will be reported back to the driver and dealership accountant. Once the damage has been rectified an invoice will be sent to the dealership accountant. (We will cover the cost of the MPI and service if required but reconditioning such as alloy refurbs, scratches and dents fall into the damage category).
- Ensuring you have reset the In-car entertainment system and SatNav back to factory settings. This will ensure no data such as call history, contacts, travel history, or home address is passed on to the new owner of the vehicle.
- Ensuring you have removed all personal items.
Any recharges mentioned above will be invoiced without receipt of a Purchase Order number as this forms part of the Terms and Conditions of the loan.
CANCELLING YOUR ORDER: Audi UK apply a £2000 plus VAT charge to all cancelled orders. Please ensure you only submit a request for a car if you are 100% sure you want it otherwise once the order is placed and confirmed back to you the cancellation fee will be recharged on to your dealership.
No additional specification can be added to the models on the website: The additional spec shown on all models will be available on future factory orders. If your first supply is needed as soon as possible a car would to be allocated from the current stock. Colour restrictions apply.
